Other Volunteer Opportunities

Be a sub-committee member! Pick your favorite topic and help out just on that. No need to attend all of the full conference committee meetings - just focus on what interests you! Contact Jessica@vrpa.org to get involved. 

Session Moderator! This is a great chance to help out and still attend a session that interests you. Help VRPA by counting the number of attendees, introducing the speaker, and signing CEU sheets at the end of the session. 

Tech Guru! With so many sessions running at once we have lots of computers, dongles, speakers, and projectors to manage. If you have a knack for keeping cool under pressure while fixing a tech glitch, let us know!

Registration Table Welcome folks to the event, answer questions, and get a chance to meet a lot of cool people.

Silent Auction - Help make calls, collect donations, and distribute auction items for the finest silent auction in VT!

Photography! Do you have a passion for photography? We are always looking for high quality photos of speakers, attendees, and exhibitors. Let us know if you want to snap a few shots. 

Other ideas for volunteering are always welcome!

Committee Position Descriptions

Conference Chair

  • The chair position will create all Conference Committee meeting agendas throughout the planning calendar with input from the Executive Director (ED)
    • The chair person shall lead each conference committee meeting
    • The chair person will meet with the education sub-committee to help select education sessions
    • The chair person shall speak at the conference during the awards ceremony offering introductory remarks
    • The chair person shall work with the VRPA ED on any necessary conference details
    • The chair will follow up with other sub-committee chairs to be sure they are meeting their goals and deadlines

    Exhibitor Chair

    • This position should be held by a VRPA exhibitor/vendor and can be located in or out of state
    • This position shall lead, schedule, and create agendas for all exhibitor sub-committee meetings
    • This position will help with the set-up, organization, and communications in the Exhibit Hall at the conference
    • This sub-committee will reach and communicate with all past exhibitors to help promote the conference
    • This sub-committee will update the vendor contact list yearly and reach out to new potential vendors
    • This sub-committee will help organize the raffles to the held in the Exhibit Hall each year
    • This sub-committee will help organize any special demos or vendor events at or before the conference

    Volunteer + Student Chair

    • This position shall lead, schedule, and create agendas for all volunteer sub-committee meetings
    • This position shall work with any number of sub-committee members that ideally will include college students, professors, and other professionals in the field interested in helping as moderators and other roles at the conference
    • This position will create and distribute all moderator forms to volunteers prior to the conference
    • This position will organize a list of students that plan to attend the conference, assign them to mentors, and go over expectations and behavior prior to attending the conference

    Gift Chair

    • This position shall lead, schedule, and create agendas for all gift sub-committee meetings
    • This position shall work with any number of sub-committee members to work together on gathering price quotes and samples of potential gift items.
    • This position is responsible for ordering gifts and having them arrive at the stuffing party prior to the conference. This position is responsible for organizing any additional items to go along with the gift – stickers, candy, flyers, etc.

    Marketing Chair

    • This position shall lead, schedule, and create agendas for all marketing sub-committee meetings
    • This position shall work with any number of sub-committee members to create a marketing timeline and plan for promoting the conference
    • This sub-committee will review and update the conference mailing lists yearly and add to & edit as needed
    • This sub-committee will create Constant Contact emails for marketing promotion, Facebook & Instagram posts, as well as other marketing and PR ideas

    Conference Vice Chair

    • The vice-chair person shall serve as education chair - leading education sub-committee meetings, and create agendas
    • This position is assumed to take the role of Conference Chair the following year to keep knowledge, flow, and consistency in the committee.

    Silent Auction Chair

    • This position shall lead, schedule, and create agendas for all auction sub-committee meetings
    • This position shall work with any number of sub-committee members to help seek donations from VT businesses/organizations to be used in the Silent Auction
    • This position is responsible for all mailings of the sub-committee (request letters, thank you letters, and auction items)

    Entertainment Chair

    • This position shall lead, schedule, and create agendas for all entertainment sub-committee meetings
    • This position shall work with any number of sub-committee members to work together to plan activities and entertainment
    • This position is responsible for planning all Wednesday night social activities at the conference – during the Exhibit Hall as well as after dinner (DJ, music, games, etc)
    • This position is responsible for planning any hands-on demonstrations at the conference – stand up paddle boarding, boating, & equipment demos

    Sponsorship + Scholarship Chair

    • This position shall lead, schedule, and create agendas for all sponsorship sub-committee meetings
    • This position shall work with any number of sub-committee members to seek donors and sponsors for the annual conference
    • This sub-committee will review yearly the conference sponsorship opportunities and suggest any updates or changes
    • This sub-committee will reach out to private businesses, other non-profit agencies, and state/municipal agencies for sponsorship support
    • This sub-committee will review all scholarship applications and work with the VRPA ED and Conference Chair to make final decisions on scholarship awards
